Evident Schools is run by Modern Labs Ltd, a company registered in England and Wales, company number 17160127, registered office 4 Evelyn Gardens, Flat 4, London SW7 3BG. Modern Labs Ltd is the controller of the personal information described here.

This website

This website sets no cookies and uses no analytics, advertising or tracking tools. It loads nothing from other websites, so no other company learns that you visited.

If you use the switch on a requirement page to show obligations for academies or maintained schools, your choice is saved in your own browser so the page remembers it. It never leaves your device and we cannot see it.

Our hosting provider, Netlify, keeps short-term server logs, including IP addresses, to run and protect the website. We do not use these logs to identify visitors.

When you ask us to check a website

You can ask us to check one item on a school's website, or to scan a whole site for free.

• Single check: the school website address, your work email address and the item you asked about.
• Free scan: your name, your role, your school or trust, the school website address and your work email address.

We use these details to run the check and email you the result, to answer your questions, and to tell you about our paid plans if you ask. We do not add you to a mailing list and we do not sell or share your details.

Our lawful basis is legitimate interests: responding to a request you made to us about a school's website. If you become a customer, it is also to take steps towards, and then perform, our contract with your school or trust.

When we check school websites

Our tool reads the public pages of school and academy trust websites and compares them with what schools must, should or are expected to publish. It reads only public pages, follows each website's robots.txt rules, never logs in, never submits forms and never accepts cookie banners.

School websites are required to publish some names, for example the headteacher, the special educational needs co-ordinator, the designated safeguarding lead and members of the governing board. We record a name only where a requirement obliges the school to publish it, as evidence that the requirement is met. We never add information about people from other sources.

To show our evidence, we keep a copy of the public pages we read. These copies may contain other names that happen to appear on those pages. We do not extract, list or use them.

Our lawful basis is legitimate interests: helping schools and trusts check that the information they must publish is present and current. We keep this to what the requirements themselves make public.

Emails about a school's website

We may write to a school or academy trust at the organisational email address it publishes, about what we found on its website. Every such email tells you how to ask us not to write again, and we will stop.

Who else handles your information

We use a small number of service providers, who act only on our instructions:

• Netlify, Inc. (United States): hosts this website and receives the forms you send us.
• Brevo (Sendinblue SAS, France): sends email from our domain.
• Google (United States): our email accounts, where form submissions and your emails arrive.
• Anthropic (United States): an AI service our tool uses to read public web pages when checking a school's website.

Where a provider handles personal information outside the UK, the transfer is covered by UK-approved safeguards, such as the UK International Data Transfer Addendum or the UK extension to the EU-US Data Privacy Framework.

The records from our checks are held on equipment controlled by Modern Labs Ltd in the UK. We never publish a school's results or rank schools against each other.

How long we keep information

• Form submissions: deleted from our website host within 90 days. Enquiry records are kept for up to two years after our last contact with you, then deleted.
• Customer records: for the length of the contract and six years after it ends, as required for accounting and legal claims.
• Results of website checks, including copies of public pages and any names they contain: up to two years after the check, then deleted, unless a customer contract says otherwise.
• Website server logs: kept by Netlify for its standard short period.

Your rights

You have the right to ask for a copy of your personal information, to have it corrected or deleted, to restrict how we use it, and to object to our using it, including to our recording of a name published on a school website. Contact us at the address above. We will reply within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or by calling 0303 123 1113. We would like the chance to put things right first.

We will update this notice when what we do changes, and show the date of the latest version at the top.
